GENERAL PURPOSE

Under general supervision, performs a wide range of customer service, clerical duties; and marketing assignments for

the tourism bureau; responds to problems in an efficient and professional manner; data entry and fulfillment duties

including tracking and reporting; coordinating events as assigned; proficiency in MS Word, Excel and Outlook; coordinate

maintenance of facilities and manage, record, and order office supplies, may assist in writing commission minutes; and

does related work as required.

DISTINGUISHING CHARACTERISTICS

This is a part-time, non–benefited, position. This position provides an opportunity for incumbents with an interest in

pursuing a career in municipal government to learn about municipal government functions and gain experience by

completing tasks and special assignments related to the program area.

1. Provides general clerical support for the department, answer calls, customer service and records management

duties.

2. Types, processes, distributes, files documents and assists with special projects.

3. Distributes incoming and outgoing mail and correspondence; maintains accurate and up-to-date logs, files,

calendars and records for assigned area.

4. Assists in sorting, cross-indexing, coding and filing various materials using established procedures.

5. Copies, collates, and binds documents; enters data into computer from various sources; inputs corrections and

updates information; verifies data for accuracy and completeness.

6. Operates a variety of office equipment including computer keyboard, calculator, copier, facsimile or scanning

machine.

7. Greets visitors and answers and refers telephone calls, questions, and complaints to other appropriate staff and

departments.

8. May provide back-up for other department or division office administrative support staff.

9. Sorts, assembles, and packages documents and travel guides for mailing purposes.

QUALIFICATIONS GUIDELINES

Knowledge of:

Services and activities in the Buena Park and Orange County region, including locations, directions, map reading, visitor

attractions, accommodations, and special events; office administration practices and procedures; correct English usage,

including spelling, grammar, and punctuation; record keeping and filing techniques; and effective customer service

techniques.

Ability to:

Operate multi-line telephone system; operate computer hardware and use internet, email, word processing, and

spreadsheet software programs; proofread documents; organize and maintain office records and specialized files;

understand and follow instructions; update and maintain records and generate required reports; meet all deadlines, read,

interpret, apply and explain a variety of programs related to Visit Buena Park; communicate effectively, both orally and in

writing; comply with dress code; establish and maintain effective working relationships with visitors, management, staff,

developers, contractors, business representatives, city and government officials, and others contacted in the course of

work.

Physical Demands

While performing the duties of this class, employees are frequently required to sit, stand and walk; talk or hear, in

person and by telephone; use hands repetitively to finger, handle, feel or operate standard office equipment; and reach

with hands and arms above and below shoulder level. Employees occasionally lift and move records and documents

weighing up to 20 pounds.

WORK ENVIRONMENT

Employees typically work in office conditions, and the noise level is usually quiet, at or below 85 decibels levels.

EDUCATION/TRAINING/EXPERIENCE

Graduation from high school or G.E.D. equivalent and one year of office administration experience is required. Additional

relevant experience in tourism or hospitality industry, marketing or public relations department is a plus. Proficiency in

Microsoft Office Suite is highly desirable. Internet research skills are highly desirable. Experience involving extensive

public contact dealing with a diverse group of individuals or visitors representing a wide range of interests is highly

desirable.

LICENSES/CERTIFICATES/SPECIAL REQUIREMENTS

Valid California Class C driver license, acceptable driving record, and evidence of insurance are required.
